Privacy Policy

This policy is being finalized ahead of general availability and is subject to change; it is not legal advice.

Scope

This policy covers how Polish Clover Solutions handles information for the UnitTrack platform — both the accounts of the organizations that use UnitTrack and the utility data they upload for processing.

What we collect

Account details (email, name), organization information, and the utility data you upload — which may include customer names, service addresses, and account identifiers (PII). We also record security and access events (including IP address and user agent) for auditing.

How we use it

We process uploaded data only to provide the service — ingesting it, running the analyses you request, and publishing disclosure-controlled aggregates. We do not sell your data or use it for advertising.

How we protect it

PII is encrypted at rest (field-level AES-GCM), pseudonymized, and separated from analytic data; only disclosure-controlled aggregates are ever published. Access is role-based, restricted to a designated PII Steward, MFA-protected, and audited. See our Security page.

Cookies

We use only essential first-party cookies — a session cookie to keep you signed in and a CSRF token to protect form submissions. No third-party advertising or cross-site tracking cookies.

Service providers (subprocessors)

We rely on a small set of vetted US-based providers to run the service:

  • Render — application hosting, PostgreSQL database, and encrypted storage.
  • Google Workspace — transactional email (e.g., sign-in and account notices).
  • Sentry — error monitoring, configured to exclude request bodies, cookies, and PII.
  • Stripe — payment processing, only if and when a paid subscription is enabled; card data is handled solely by Stripe and never stored by us.

Where data is processed

The platform and its data are hosted in the United States.

Retention & your choices

Data is retained for the duration of your engagement and deleted on request or after account closure, subject to legal obligations. You may request to access, correct, or delete your information by contacting us.

Changes to this policy

We may update this policy and will revise the effective date below; material changes will be communicated to account holders.
